The problem

The firm needed to call and qualify every inbound lead fast, book consultations, and follow up after each call — without staffing a phone team. Manual calling and post-call admin didn't scale, and no-shows leaked revenue.

Approach

I built the entire system inside GoHighLevel workflows — no external orchestrator. A form submission enriches the lead and fires the outbound AI call; Retell's call_analyzed webhook then triggers a post-call workflow that branches on the call outcome and updates the CRM.

What I built

• Form-triggered intake that creates/updates the opportunity, pulls an available calendar slot, builds the call payload, and fires the outbound Retell AI call via webhook
• Post-call workflow triggered by Retell's call_analyzed event: finds or creates the contact, then runs a processing chain (date/phone formatting, Google Sheets lookup and update)
• Outcome-based branching — voicemail, asked to reschedule, no answer — each with its own follow-up path
• Retainer-email automation gated on whether the fee structure was accepted, ending in a clean opportunity status
• No-show automation: an appointment-status trigger tags lost vs no-show and runs an AI-assisted re-booking sequence
• OpenAI enrichment and Google Sheets logging wired directly into GHL workflows

Result

Delivered a hands-off, GHL-native lead-to-consultation engine: every lead gets an instant AI call, every call is processed and routed by outcome, and no-shows are automatically re-engaged — all orchestrated inside GoHighLevel.
