An end-to-end lead-engagement system built in n8n for a real-estate investment firm: it cold-texts motivated-seller leads from the CRM, runs timed multi-touch follow-ups, and hands live replies to an AI concierge that qualifies and books.

The problem

Motivated-seller leads sat in the CRM without consistent follow-up. Speed-to-lead and persistent outreach are what book deals — but manual texting doesn't scale, replies get missed, and leads quietly go cold.

Approach

A set of n8n workflows that work hand in hand over one CRM: a tag-driven outbound engine feeds a two-way AI agent, so the same contact flows from first text to booked call without a human in the loop. Outbound is a tag-based state machine that advances each contact exactly one step per run.

What I built

• Scheduled CRM search (every 45 min) for eligible leads, excluding do-not-contact tags
• Phone extraction that reads only real phone fields, normalizes to E.164, de-duplicates, and skips free-text so it never texts a fake number scraped from notes
• A data-quality guard that blocks any send missing a name, address, or valid phone — no broken “Hi , offer for ?” messages
• A timed three-touch outbound sequence via Telnyx with property-address personalization, each stage swapping CRM tags to advance or close the contact
• Inbound replies routed to an AI agent (built with n8n's AI Agent node, Postgres memory + CRM tools) that qualifies the lead and moves it toward a human call
• Opt-out compliance: STOP/hostile replies trigger a silent do-not-contact write to both the CRM and the database

Result

Shipped a hands-off pipeline that takes a raw CRM lead all the way to a qualified, booked conversation — consistent outreach with guardrails that keep messaging clean and compliant.
