The problem

Reception, cold outreach, and pre-call qualification all need phone time no small team can staff. Calls also need to be captured and scored so nothing is lost between the call and the CRM.

Approach

Per-purpose VAPI assistants (GPT-4o-mini + Deepgram transcription + ElevenLabs voice) with tuned system prompts, function tools for structured capture, and an analysis layer that summarizes and scores each call.

What I built

• Specialized assistants: inbound receptionist, outbound cold caller, and booked-call follow-up
• Structured data capture via function tools (name, phone, business type, team size, tech stack, automation needs)
• Automated post-call summary plus a pass/fail success-evaluation rubric
• Dynamic personalization through template variables and date/timezone injection
• Per-assistant model, temperature, and token tuning, with cost and latency instrumentation
